We are seeking a highly organized and passionate Assistant Project Manager for Fragrance to join our nimble, collaborative team. This is a unique opportunity to sit at the center of the fragrance world, working directly with our Founder and cross-functional teams to translate creative visions into tangible, market-ready products. Key Responsibilities

As the Assistant Project Manager, you will be responsible for the end-to-end coordination of fragrance launches and the maintenance of ongoing product lines. You will serve as the glue between product development, creative, operations, and retail teams to ensure every project stays on track and meets our high standards of quality.

  • Drive project lifecycles by tracking milestones, preparing detailed project calendars, and ensuring all deadlines and budget requirements are met.
  • Coordinate daily with internal stakeholders in marketing, finance, and operations to align on brand vision and execution.
  • Manage external vendor relationships, overseeing the procurement of samples, component deliveries, and final approvals.
  • Act as a lead expeditor by following up on orders, resolving supply chain delays, and ensuring the timely movement of goods.
  • Conduct rigorous quality control and inspection activities, reviewing components and finished goods to maintain brand integrity.
  • Monitor logistics and shipment planning, including the management of essential documentation and coordination with freight partners.
  • Facilitate cross-functional meetings, prepare comprehensive status reports, and proactively identify potential risks or resource constraints.
  • Contribute to the continuous improvement of fragrance project workflows to increase efficiency and scalability.

Qualifications

We are looking for a proactive professional who thrives in a remote, fast-moving environment and possesses a deep curiosity for the beauty and fragrance sectors.

  • 1–3 years of experience in project management, brand coordination, operations, or a related field within the CPG or beauty industry.
  • A genuine obsession with fragrance culture, retail trends, and the future of the scent category.
  • Demonstrated experience in expediting and logistics, with the ability to navigate complex supply chain challenges.
  • Exceptional attention to detail, particularly regarding quality control and product inspection standards.
  • Strong communication skills, with the ability to translate high-level creative concepts into actionable project tasks.
  • Proficiency in project management tools such as Excel/Google Sheets, Notion, or Asana.
  • Bachelor’s degree in Business, Supply Chain, Project Management, or a related field (or equivalent practical experience).
  • Proven ability to manage multiple priorities simultaneously while working independently in a remote setting.
