Aecon is looking for a dynamic Proposals Coordinator to join our Civil East sector, a powerhouse in heavy civil construction specializing in transformative infrastructure across North America and the Caribbean. In this role, you will be a vital link in our business development engine, working closely with Proposal Managers to transform technical requirements into winning narratives for large-scale bridges, highways, and airport projects. As a Proposals Coordinator, you will thrive in a fast-paced, collaborative environment where attention to detail is paramount. You will be responsible for the end-to-end administrative and creative support of the proposal lifecycle, ensuring every submission is clear, comprehensive, and fully compliant with client requirements. Whether you are managing complex proposal calendars, researching internal project statistics, or coordinating with subject matter experts, your work will directly impact Aecon’s growth and our ability to deliver projects that enable future generations to thrive.

Key Responsibilities
  • Support Proposal Managers in the creation and administration of comprehensive responses for large-scale civil construction RFQs and RFPs.
  • Review client bid documents to develop a deep understanding of requirements and ensure all materials are compliant and compelling.
  • Develop and manage proposal calendars, responsibility matrices, and pursuit SharePoint sites to keep teams aligned and on schedule.
  • Create and maintain standardized templates for proposals, resumes, and project sheets to ensure brand consistency and professional presentation.
  • Coordinate the flow of information from subject matter experts and project teams to generate high-quality technical content and winning narratives.
  • Research internal and external resources to gather pertinent statistics and data for use in executive summaries and presentations.
  • Prepare and edit critical deliverables, including key staff resumes, organization charts, and project experience sheets.
  • Organize and facilitate team meetings, including preparing agendas and distributing detailed meeting minutes.
  • Track and report on Key Performance Indicators (KPIs) and monitor client addenda throughout the bidding process.
  • Collaborate with graphic designers to produce visual assets such as JV logos, binder designs, and digital submission materials.
  • Manage the final assembly of physical and digital submissions, ensuring all binders, USBs, and tabs are prepared for delivery.

Qualifications
  • Minimum of a Bachelor’s degree in Construction, Marketing, Communications, or a related field; equivalent industry experience will be considered.
  • At least 2 years of professional experience in proposal writing, marketing, or business development communications.
  • Superior written and verbal communication skills with the ability to produce concise and correct material under tight deadlines.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Visio) and Adobe Acrobat.
  • Exceptional organizational and time management skills, with a proven ability to prioritize multiple concurrent assignments.
  • Experience with Graphic Design tools such as Adobe InDesign is considered a significant asset.
  • A collaborative mindset with the ability to work effectively within multi-disciplinary teams.
  • Willingness to undertake limited travel as required by project needs.
