As a Project Scheduling Assistant, you will work closely with project managers and team leads to translate complex project goals into actionable schedules. You will be responsible for the meticulous maintenance of project calendars, ensuring that every milestone is accounted for and that all stakeholders are updated in real-time regarding shifts in priority or timeline. Your contributions will directly impact our ability to deliver high-quality results to our clients on time and within scope.
Key Responsibilities- Develop, maintain, and update comprehensive project schedules and master calendars to ensure all phases of production stay on track.
- Coordinate and facilitate project-related meetings, including milestone reviews, daily stand-ups, and stakeholder briefings.
- Manage executive and team calendars, resolving scheduling conflicts and optimizing time allocation for maximum productivity.
- Proactively communicate timeline adjustments, potential delays, and scheduling changes to all relevant internal and external stakeholders.
- Monitor project progress and assist in the creation of status reports and tracking documentation for management review.
- Collaborate with cross-functional teams to identify resource availability and ensure balanced workloads across the organization.
- Provide administrative support to project managers, including the preparation of agendas and the documentation of action items during meetings.
- Proven experience in administrative support, project coordination, or a dedicated scheduling role is highly preferred.
- Exceptional organizational skills with a demonstrated ability to manage multiple competing priorities simultaneously without losing attention to detail.
- Advanced proficiency with digital calendar software, project management tools (such as Asana, Trello, or MS Project), and standard office productivity suites.
- Strong interpersonal and communication skills, with the ability to convey complex scheduling information clearly and professionally.
- A high degree of self-motivation and the discipline to work effectively in a fully remote, independent environment.
- Critical thinking skills to anticipate logistical bottlenecks and propose effective scheduling solutions.
- Bachelor’s degree in Business Administration, Communications, or a related field is an asset but not required.
